02 · What Information We Collect

Information you give us directly:

  • 01Your name and work email address when you book an Agent Authority Research Session through Cal.com
  • 02Your company name, role, agent use case, and responses to assessment intake questions when you complete the Zovent intake form
  • 03Payment information processed through Stripe when you purchase an assessment or Authority Watch subscription. Zovent does not store card details, these are held by Stripe
  • 04Any information you share in email correspondence with Zovent
  • 05Any information you share during research sessions, assessment debriefs, or ongoing monitoring conversations

Information we collect automatically:

  • 01Basic website analytics. Pages visited, time on site, referral source. Collected through standard website analytics tools
  • 02Email open and click data collected through Instantly for outbound email campaigns

Information from third parties:

  • 01Publicly available information about your company and role collected through Apollo, LinkedIn, and similar prospecting tools for outbound research purposes
03 · How We Use Your Information

We use the information we collect to:

  • 01Deliver the Agent Authority Research Session, assessment, debrief, and Authority Watch services you have engaged us to provide
  • 02Communicate with you about your engagement, including sending intake forms, assessment deliverables, debrief scheduling, and monitoring reports
  • 03Process payments through Stripe
  • 04Send outbound research emails to qualified prospects where we believe Zovent's services are relevant to their situation
  • 05Improve our assessment methodology and service delivery
  • 06Comply with legal obligations including Australian tax and business record-keeping requirements

We do not sell your information to third parties. We do not use your information for advertising purposes. We do not share your information with third parties except as described in this policy.

04 · Assessment Data, Special Handling

The information you provide during a Zovent assessment engagement, including your agent architecture, system configurations, permission structures, credential information, and business processes, is treated with the highest level of confidentiality.

Specifically:

  • 01Assessment data is used only to deliver the services you have engaged Zovent to provide
  • 02Assessment data is never used for any purpose beyond your specific engagement without your explicit written consent
  • 03Assessment data is not shared with any third party without your explicit written consent
  • 04Assessment findings are never disclosed to competitors, investors, or any other party
  • 05Where assessment data is stored digitally, it is held in password-protected environments with access restricted to Zovent personnel involved in your engagement

If you request deletion of your assessment data, Zovent will delete it within 30 days subject to any legal retention obligations.

05 · Who We Share Information With

Zovent shares information only with the following categories of third parties, strictly for the purposes described:

Service providers:

  • 01Cal.com Appointment scheduling. Your name and email are shared with Cal.com when you book a session.
  • 02Stripe Payment processing. Your payment information is processed by Stripe. Zovent does not store card details.
  • 03Google Workspace Email, document storage, and video conferencing. Assessment documents and correspondence are held in Google Workspace.
  • 04Instantly Outbound email delivery. Contact information for prospects in our outreach campaigns is processed through Instantly.
  • 05Notion Internal operations and CRM. Contact and pipeline information is stored in Notion.

Legal requirements:

Zovent may disclose information where required by law, court order, or regulatory requirement including the requirements of Australian law enforcement or regulatory bodies.

Zovent does not share information with any other third parties.

06 · International Data Transfers

Some of the third-party service providers we use, including Stripe, Cal.com, Instantly, and Notion, are based outside Australia and process data in the United States and other jurisdictions. By using Zovent's services, you acknowledge that your information may be transferred to and processed in these jurisdictions.

Zovent uses only service providers that maintain appropriate data protection standards including SOC 2 compliance and contractual data processing agreements.

07 · How Long We Keep Your Information

We retain information for the following periods:

  • 01Research session booking information: 24 months from the date of the session
  • 02Assessment engagement data including intake forms, assessment documents, and correspondence: 5 years from the date of delivery, or as required by applicable law
  • 03Payment records: 7 years as required by Australian tax law
  • 04Prospect contact information in outbound campaigns: until you unsubscribe or request deletion, or 24 months from last contact, whichever comes first
  • 05Website analytics: 24 months
08 · Your Rights Under Australian Privacy Law

Under the Australian Privacy Act 1988 and the Australian Privacy Principles, you have the right to:

  • 01Access the personal information Zovent holds about you
  • 02Request correction of inaccurate or incomplete personal information
  • 03Request deletion of your personal information subject to legal retention requirements
  • 04Opt out of receiving marketing communications from Zovent
  • 05Make a complaint about how Zovent handles your personal information

To exercise any of these rights, contact hello@zovent.com. Zovent will respond within 30 days.

If you are not satisfied with Zovent's response to a privacy complaint, you may contact the Office of the Australian Information Commissioner at oaic.gov.au.

09 · Cookies

The Zovent website uses essential cookies required for the website to function. We do not use advertising cookies or tracking cookies for marketing purposes.

You can disable cookies in your browser settings. Disabling cookies may affect the functionality of the website.

10 · Security

Zovent takes reasonable steps to protect the information we hold from misuse, interference, loss, and unauthorised access, modification, or disclosure. These steps include password protection, encrypted storage, and restricted access to assessment data.

No method of transmission over the internet is completely secure. While Zovent takes reasonable precautions, we cannot guarantee absolute security.

11 · Changes to This Policy

Zovent may update this Privacy Policy from time to time. The current version is always available at zovent.com/privacy. We will notify active clients of material changes by email.
